Place an Outbound Call via Webhooks using Zapier

In this guide, you’ll learn how to set up Phonely to place outbound calls via webhooks using Zapier. This allows you to automatically trigger calls based on data from any app (like a CRM or Google Sheets) using webhooks.

🛠️ Step-by-Step Instructions

1️⃣ Go to the Workflows Tab in Phonely

• Start by heading over to Phonely’s Workflows tab.

• Find the Outbound Call section and click New Workflow.

2️⃣ Set Up the Webhook

By default, this workflow is set to trigger calls when new rows are added to Google Sheets. But we’re switching it to webhooks!

• Change the trigger from Google Sheets to Webhook.

• Copy the Webhook URL.

🌐 Setting Up in Zapier

3️⃣ Create a Zap for Outbound Calls

Now we’ll set things up in Zapier to link your CRM or database to Phonely.

• Open Zapier and search for Webhooks by Zapier.

• For this example, we’ll be using HubSpot as the CRM, but you can use any app that supports webhooks!

4️⃣ Connect HubSpot and Zapier

• Every time a new event happens in HubSpot (or your CRM), we want to trigger an outbound call in Phonely.

• Connect HubSpot to your Zapier account.

• Select the event that should trigger the call (e.g., new contact, appointment booking).

5️⃣ Send Data to Phonely

• Set up the webhook to send a POST request to the Phonely Webhook URL.

• Paste the Webhook URL from Phonely into Zapier.

• Set the Payload Type as JSON.

📝 Adding Call Details

6️⃣ Customize Call Data

• Fill out the webhook data with details like the customer’s name, phone number, and appointment time.

• Example:

Name: John Smith

Phone: +1234567890

Appointment Time: 22:30 on Monday

🧪 Testing & Finalizing the Setup

7️⃣ Test the Webhook

• In Zapier, click Test or Retest to send a test payload to Phonely.

• In Phonely, ensure you hit the Test Webhook button to verify that it’s receiving data properly.

• Once tested, you’ll see the data fields populated in the webhook.

8️⃣ Update Variables in Phonely

• If you had any default fields (like from Google Sheets), remove those and replace them with the webhook data (e.g., customer name, phone number).

• Add any personalized voicemail messages or specific call instructions using the webhook variables.

🎯 Conclusion

Now you’re all set! By using this method, you can set up automatic, personalized outbound calls via Phonely triggered by webhooks from any app you choose. 🎉
